Data Cleansing and Updating

Why Should You Clean And Update Your Customer Addresses?

Clean, accurate customer and prospect data is essential for any sales, marketing and customer management strategy and can deliver a range of benefits, including:

  • reduced mail wastage
  • reduced mailout costs
  • improved response rates
  • reduced customer distress caused by mailing to deceased persons
  • improved match rates when appending additional intelligence to your database
  • improved compliance with the Australian Privacy Act

facts

  • Approximately 3.9 million (17%) Australians move each year.
  • When they move, a large percentage do not update their contact details with the organisations they deal with. This can result in approximately 3-6% of the mailout being returned as the intended recipient is no longer at the address.
  • Almost 150,000 Australians pass away each year and need to be removed from customer data set to avoid causing distress to their surviving relatives.

Businesses are losing valuable time and money mailing to people who have either moved or passed away.

Maxell Data can help you reduce undeliverable mail by providing you with the new addresses of your customers that have moved where possible and also flag the deceased individuals on your database to save you time, money and credibility.

National Change of Address (NCOA) Service

Get your customers’ new address when they move, through the National Change of Address (NCOA) Service

Retaining existing customers is more cost-effective than acquiring new ones. With NCOA Data Update and Address Validation, you can maintain contact with your customers when they move home, reducing wastage and costs.

The NCOA service is an advanced service which will produce the latest known address for an individual or a business. The NCOA data Update and Address Validation file is built exclusively from data sourced from the Australia Post Mail Redirection Service. Data is collected directly from the Redirection application forms.

The file contains approximately 38 million records (as at December 2014) and continues to grow at the rate of around 100,000 records per month.

Customers on the File have given Australia Post their permission to pass on their new address to organisations that already have their old contact details so they can update and validate their address records.

Address Update and Address Validation – We match your mailing list Name and Address or Delivery Point Identifiers (DPIDs) to Australia Post’s NCOA file to update the addresses of the individuals and businesses that moved since 1995 and advised Australia Post of their new address.

So, if Mr Citizen moved from address 1 to address 2, subsequently to address 3 and finally to address 4, the NCOA service will only output address 4, whether address 1, 2 or 3 was used as the input address. This means you have access to the most recent address available.

Remove Deceased Records Before You Mail

According to the Australian Bureau of Statistics, almost 150,000 people die in Australia per annum (source: Population Projections, Australia, 2006 to 2101).
It is important that the bereaved family members do not receive mail that targets their deceased relatives.

MaxellData can help you to flag or remove details of the deceased persons’records from your mailing list before you mail using a variety of different files.

These include:

  • Australia Post’s Mail Redirection application where a deceased individual’s details are provided; and
  • Records collected from Return Mail indicating that an individual is deceased

We can flag and remove the records of deceased individuals in your list to ensure you maintain customer respect and avoid damaging your brand image by not disturbing members of the deceased’s household with unwanted mail.
